JOB SUMMARY:

The National Institute of Food and Agriculture (NIFA) is the Federal component of a nationwide extramural research, educational, and outreach system which supports the global, science-based agricultural enterprise and accomplishes its missions in partnership with land-grant universities and other academic and scientific organizations. As Secretary to an Assistant Director of an Institute or Office, you will provide support functions and manage day-to-day office operations. Vacancies exist in the Office of Grants and Financial Management, Office of Information Technology, and the Institute of Youth, Family, and Community.

KEY REQUIREMENTS

DUTIES:

  • Receives visitors and telephone calls to the office
  • Maintains the supervisor's calendar; schedules appointments and meetings
  • Responds to request for information concerning unit functions
  • Reads and directs correspondence, publications, regulations, and directives which may affect the office
  • Uses office automation software packages and equipment to type, edit, and format letters, memoranda, reports, manuscripts, research documents, charts, graphs, and/or forms
  • Makes necessary arrangements for travel
  • Establishes and maintains the office filing system
  • Coordinates office activities with secretaries of other offices/organizations
  • Sets up meetings, planning sessions and conferences
  • Verifies office expenditures against discrepancy reports


QUALIFICATIONS REQUIRED:

GS-07

To qualify for the GS-7 grade level, applicants must have one (1) year specialized experience equivalent to the GS-6 which is directly related to the work of this position and which has equipped the applicant with the knowledge, skills, and abilities to perform successfully the duties of the position.  For this position, specialized experience is fulfilled by the following:  experience scheduling appointments and maintaining a calendar; screening calls and visitors; arranging conferences and meetings; coordinating travel arrangements and processing travel vouchers; reviewing and routing incoming and outgoing correspondence and documents; utilizing automated systems and databases to generate reports and maintain files; and recording time and attendance.

GS-08 

To qualify for the GS-8 grade level, applicants must have one (1) year specialized experience equivalent to the GS-7 which is directly related to the work of this position and which has equipped the applicant with the knowledge, skills and abilities to perform successfully the duties of the position.  For this position, specialized experience is fulfilled by the following:  administrative/clerical office support (i.e., typing, filing, greeting visitors, scheduling appointments/meetings, answering routine phone calls, and providing information); ensuring written materials are complete, accurate, and contain correct usage of grammar, spelling, punctuation, and structure; using time management techniques to meet deadlines; collecting, compiling, and/or tracking of data and statistical information; interpreting and applying regulations and procedures; use office automation and related software (eg., Microsoft Office Word, Excel, and Outlook) to prepare reports, correspondence, memoranda, and other forms of written communication.


Applicants must be able to type a minimum of 40 words per minute.

Time-in-grade restrictions apply for all candidates considered under Merit Promotion.
